    1. What Information Do We Collect?

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

    Personal Information Provided by You:

    • Names: We collect your name to personalize your account and for identification purposes.
    • Email Addresses: Your email address is collected to facilitate account creation, send updates or notifications, and allow for account recovery.
    • Usernames: We collect usernames to uniquely identify you within the Snaptrail community.
    • Passwords: Passwords are collected to secure your account. We ensure that passwords are encrypted and stored securely.
    • Country of Residence: We collect your country of residence to comply with local regulations and tailor content to your location.

Content You Provide: We collect the content you create or upload when using the Services, including photos, videos, journal entries, trip plans and itineraries, places you add to your trips, expense records, receipts, and messages you send to our AI travel assistant ('Remi').

Hangouts and Events: When you create a hangout or event, the details you provide, including its title, description, date, and venue (such as the venue's name, address, and map coordinates), are stored on our servers and made visible to other users of the Services so that they can find and join it. Your profile name and photo are shown as the organiser. Please do not include information in a hangout or event that you do not wish to make visible to other users.

Sensitive Information: When you choose to use features such as Travel Vault, Visa Guide, or Immigration Guide, we may process sensitive information, including passport and visa details, identity documents, travel and immigration history, and financial and employment information you provide for a visa or immigration assessment. We process this information only to provide the features you request, with your consent or as otherwise permitted by applicable law.

Payment Data: We do not collect or store your credit card or other payment details. All payments for subscriptions and in-app purchases, including credits, are processed and stored by Google Play and the Apple App Store. We, and our subscription management provider RevenueCat, receive a record of your purchases and subscription status, such as the product purchased, the transaction date, and whether a subscription is active, so that we can provide the features you have purchased.

Social Media Login Data: We may provide you with the option to register with us using your existing social media account details.

Application Data: If you use our application(s), we may also collect the following information if you choose to provide us with access or permission:

    • Geolocation Information: We may request access or permission to use your device's location to centre the map on your position and to show events and hangouts near you. Your device's location is processed on your device for this purpose only; we do not transmit it to our servers or store it in our databases.
    • Microphone Access: We may request access or permission to use your device's microphone so that you can record voice notes and dictate text, such as journal entries. Recordings are made only when you choose to start them. They are transmitted to our cloud servers and our artificial intelligence service provider to be converted into text, and are not stored after the text has been produced; the recording is also deleted from your device once it has been sent. At your request, the resulting text may also be processed by our artificial intelligence service provider to refine it into a journal entry.
    • Camera Access: We may request access or permission to use your device's camera so that you can take photos and videos and scan documents and receipts.
    • Photo Library Access: We may request access or permission to your device's photo library so that you can add photos and videos to the Services.
    • Mobile Device Data: We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information, and crash and diagnostic reports.
    • Push Notifications: We may request to send you push notifications regarding your account or certain features of the application(s).

If you wish to change our access or permissions, you may turn them off in your device's settings. Some features of the Services may not be available without the relevant access or permission.

    3. What Legal Bases Do We Rely On?

We only process your personal information when we believe it is necessary and we have a valid legal reason to do so under applicable law, like with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfil our legitimate business interests.

If you are located in the EU or UK, we may rely on: Consent, Performance of a Contract, Legitimate Interests, and Legal Obligations.

    4. When and With Whom Do We Share Your Personal Information?

We may share your data with third-party vendors, service providers, contractors, or agents who perform services for us. The categories of third parties include:

    • Firebase: We use Firebase for storing and managing user data, including photos, videos, journals, and itineraries.
    • Google Analytics: We may share your information with Google Analytics to track and analyse the use of the Services.
    • Google Gemini: We use Google's Gemini artificial intelligence service to provide our AI features. The content you submit to these features, such as your messages, voice recordings, documents, receipts, and relevant trip details, is shared with Google for processing.

We may also share information during Business Transfers, with Affiliates, and with Business Partners.

    5. What Is Our Stance on Third-Party Websites?

We are not responsible for the safety of any information that you share with third parties that we may link to or who advertise on our Services but are not affiliated with our Services.

    6. Do We Use Cookies and Other Tracking Technologies?

We may use cookies and similar tracking technologies to gather information when you interact with our Services. We also permit third parties and service providers to use online tracking technologies on our Services for analytics and advertising.

Advertising: Our application(s) display advertisements provided by Google AdMob to users who do not hold an active subscription to one of our paid plans. Subscribers are not shown advertisements, except where they choose to watch one.

On Android devices, Google AdMob may use your device's Google Advertising ID, IP address, and information about your interaction with advertisements to show you personalised advertisements, subject to the settings on your device. On iOS devices, we do not request your permission to track you across apps and websites owned by other companies, and we do not use your device's advertising identifier for this purpose; advertisements shown on iOS devices are based on the context in which they appear rather than on your activity across other apps and websites.

Where required by applicable law, including in the EEA, the UK, and Switzerland, we will request your consent before personalised advertisements are shown, and you may change your choice at any time.

On Android devices, you may opt out of personalised advertising, or reset or delete your Google Advertising ID, at any time in your device's settings, under Settings > Google > Ads (or, on some devices, Settings > Privacy > Ads). If you opt out, you will still see advertisements, but they will be less relevant to you.

    7. How Do We Handle Your Social Logins?

Our Services offer you the ability to register and log in using your third-party social media account details. Where you choose to do this, we will receive certain profile information about you from your social media provider.

    8. Is Your Information Transferred Internationally?

Our servers are located in South East Asia. If you are accessing our Services from outside South East Asia, please be aware that your information may be transferred to, stored, and processed by us in our facilities.

    9. How Long Do We Keep Your Information?

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy policy, unless a longer retention period is required or permitted by law.

Content you create, including your trips, journals, photos, and documents stored in Travel Vault, is kept for as long as you maintain your account or until you delete it. Voice recordings are not retained after they have been converted into text. Your conversations with Remi are deleted when you delete your account.

    10. How Do We Keep Your Information Safe?

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, no electronic transmission over the Internet can be guaranteed to be 100% secure.

    11. Do We Collect Information from Minors?

We do not knowingly collect data from or market to children under 13 years of age. If we learn that personal information from users less than 13 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data.

    12. What Are Your Privacy Rights?

In some regions, such as the Philippines, the EEA, the UK, Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information. These may include the right to request access, rectification, erasure, restrict processing, data portability, and to object to processing.
